ACTED currently seeks an Office Assistant for its Gaza office in the Gaza Strip.
Position Profile
Position summary
The Office Assistant’s role is to Support the Area coordinator for Finance, Logistics, Administration, Team and Security (FLATS) tasks in Gaza office
Main duties
-Manage office tasks including answering phone calls, relaying messages to staff as required, prioritizing mail, filing, photocopying, greetings and assisting visitors to the organization’s office.
-Distributes mail and faxes daily, (sends/receives faxes for all office staff) and maintains the record of file of faxes and emails received.
-Files all documents/scanned copies as needed and keeps filing system maintained.
-Assist in the planning and preparation of events, meetings and conferences.
-Maintains and checks regularly the administrative filing system and ensures that all FLATS documents are filed properly.
-Translates short documents when required (Arabic to English, and vice versa).
-Assists in completing monthly reporting documents related to FLATS
-Assists in preparing letters and other relevant documents for Embassies, Ministries and Partners to issue visas, work permits, etc. for ACTED staff, follow-up of all staff ’s visas and work permits and has a computerized up-to-date data base.
-Provide safe and secure driving service for personnel and delegation when is needed.
Qualifications:
-A Bachelor’s degree in Business Administration, Political science, Sociology or related field.
-Minimum 1 year of experience in the same position.
-Previous work experience with NGOs / INGOs.
-Ability to handle multiple assignments & meet deadlines.
-Excellent oral communication and writing skills.
-Fluency in written & spoken English/ Arabic.
-Professional attitude, good social skills, and ability to work in a team.
-Accurate, reliable, open-minded, and a positive attitude.
-Willingness to improve skills and knowledge.
-Valid Driving license (with clean record) is compulsory
